Forum matters: Conscious language

One could argue that an editor’s job is entirely about the conscious use of language. That is, conscious in the senses of: being aware of and responsive to words and their meaning; having knowledge of the topic; having and raising a concern where necessary; being intentional in the choice of vocabulary when suggesting change.

In today’s world, where rapid and easy communication is exposing the unconscious use of language, ‘conscious language’ has become a technical term related to sensitivity and awareness. This interpretation is explored on the forums as members question the use and validity of words and phrases that, up until now, have been employed without thought or a broader understanding.

Resources for fiction editors

The specialist Fiction forum’s invaluable EDI Resources for Editors helps its members to ‘answer questions like “Is this insensitive?” and “How do I phrase this query?” as well as presenting solutions or giving advice for how to approach problematic texts’. There are over 50 links and references to books, websites, organisations, courses and guides that will help you develop your awareness of what conscious language is and how it is developing. The good news for those who aren’t yet on the Fiction forum is that many of these resources also appear on our dedicated EDI webpage.

Maintaining a safe space

While the overarching principle on the forums is that anything is up for reasoned discussion, questioning and point-making, threads can get heated at times. Usually, forum users keep the space constructive and supportive by acknowledging the many facets of different individual experiences. On the rare occasions that the tone gets too personal or aggressive, then the thread is either closed (so no further comments can be posted but all the interesting points can still be seen) or (even more rarely, if the argument is becoming harmful) removed to maintain the forums as a safe space. Always learning

A common editorial trait is a consciousness of the gaps in our knowledge and the desire to learn from change and from those who do know.

On SfEPLine, Helen Stevens said ‘I’m sure I’m not the only person who’s never considered the connotations of the word “aid”’ when she started Conscious language: the word ‘aid’ to share information about a campaign by organisations in global justice. This did lead to some political discussion, but even more importantly it uncovered useful links and different perspectives on one of the smallest words in the dictionary. Also on SfEPLine is ‘Patient’ as unwanted label: no discussion, just a link to an interesting article.

It’s no surprise that LGBTQ terminology is often discussed on SfEPLine; but that a linguistics gem – and a global language lesson – appears in Off topic is a surprise. Or perhaps not. Are editors ever really off-topic?

The newer Events forum is becoming a source of resources. The number of events that discuss EDI and conscious language is testament to a growing awareness of the importance of being careful about the words used in many situations. Why not add new events postings to your email receipts so you don’t miss out on adding to your skills, knowledge – and CPD for upgrading?

From the macro of Using ‘man’ for ‘humankind’ to the micro of Conscious language, ‘to dwarf’ (v.), from the general of Use of the term ‘Caucasian’ in SfEPLine to the specific of A character with Down’s syndrome in MG fiction – question in the Fiction forum, members are using the forums to clarify language for themselves, their clients and readers.

Discussions are also helping members develop their business through sensitivity or authenticity reading. Authenticity reading – how to charge is practical while White author writing about Black women’s hair is more wide-ranging, and Non-English dialogue in an English context in the Fiction forum places the reader firmly at the centre.

We hope you enjoy developing your knowledge in the safe space of the forums and that you also contribute, as every individual experience casts light on our conscious use of language.

The 2021 CIEP conference: Conscious and inclusive editing: Understanding conscious language and the editorial role

This year’s CIEP conference was held online, from 12 to 14 September. Attendees from all over the world logged on to learn and socialise with their fellow editors and proofreaders, and a number of delegates kindly volunteered to write up the sessions for us. Suzanne Arnold reviewed Conscious and inclusive editing: Understanding conscious language and the editorial role, presented by Crystal Shelley.

Words can uplift, empower and inspire, says Crystal. But they can also invalidate, marginalise and erase. ‘Language … has the power to perpetuate stigma and stereotypes and to misrepresent.’

Editors have an opportunity to help authors recognise and replace potentially harmful language before it’s published.

What is conscious language?

Conscious language is rooted in compassion, choosing words to reflect our intention.

For example, many wheelchair users dislike the phrase ‘wheelchair-bound’ because it implies the chair is a negative thing, whereas they see it as a tool that helps them go about their daily lives. So if we say that someone is wheelchair-bound, it’s often inaccurate and can be stigmatising.

‘Many conscious language issues are unintentional’: most of us don’t deliberately offend or upset people. The problem is using words or phrases unthinkingly or out of habit – perhaps terms that we were taught as children or hear other people use.

Why care?

This isn’t about the author’s intent, but the impact on readers.

Language conveys our values and beliefs, and so, unintentionally using harmful language can affect reputation. It can also, of course, have real-world consequences, including negative reviews, bad publicity, even cancelled contracts or financial loss.

What can editors look out for?

First, don’t worry if this seems daunting. We all have to start somewhere and learning can be an ongoing process.

To help us watch out for potentially problematic language, Crystal gave the following pointers, with examples.

Ask yourself whether the language is:

  • disrespectful (eg using ‘pow wow’ to describe a meeting at work strips the term of its cultural significance)
  • stigmatising (eg ‘crazy’ – even if it’s not being used to stigmatise those with mental illness or whose behaviour seems ‘different’, it may provoke an unintended emotion in the listener or reader)
  • inaccurate (eg ‘wheelchair-bound’)
  • biased (eg default ‘he’)
  • excluding (eg referring to ‘both’ genders)
  • outdated (eg ‘oriental’, ‘senile’)
  • dehumanising (eg ‘illegal immigrant’ – we may think of phrases such as this as ‘the norm’, but they strip people of their humanity and individuality)
  • presumptuous (eg Columbus ‘discovered’ America – people lived there long before he arrived)
  • judgemental (eg ‘suffers from’)
  • rooted in oppression.

How can editors raise these issues with authors?

Don’t feel afraid that you’re trying to impose your own views or biases on the text. We raise these issues because ‘they may interfere with the author’s ability to get their message across effectively to readers’.

And that’s the key to giving feedback – keep it focused on the reader and potential unintended effects on them. Keep it constructive and professional, offer suggestions for other wording they could use and share links to relevant resources.

Let’s stop and think to make sure all voices are heard

This year’s CIEP conference was held online, from 2 to 4 November. As a proofreader and editor with a disability, I was excited to attend Sarah Grey’s session, Conscious Language: Making Editorial Decisions for Inclusion.

I already knew a bit about the importance of person-first language and inclusivity in publishing, and I was excited to learn more from an expert.

What did I learn? And what can we do to be more inclusive?

Inclusivity is more than person-first language

In fact, there is some lively debate about whether person-first language helps promote equality.

Words shape our perception of the world, how we see ourselves and how we feel. Editing for conscious language emphasises kindness, empathy, justice, respect, inclusion and accuracy. The way language is used has a huge influence over people and events, especially in politics and public forums.

As editors, we have great power over, and responsibility for, how language is shaped and used.

Consider the last speech you heard on the news. How did it make you feel? How might it be perceived by others? What will the consequences of a piece of writing be? Will it do any harm?

Language is changing faster than ever before

Be aware of these changes and check how a word or phrase is used. I was shocked to find that a common UK word is considered a grievous slur in parts of North America, and many people were deeply hurt when it was recently used in a popular TV series.

Ask the right questions

Who is the author? Who is the audience? Who is mentioned in the text? Is their perspective included? Does the author’s perception of their audience match the audience’s perception of themselves?

Will the audience appreciate a cultural reference or turn of phrase? Will it add to their experience or alienate them? Is an author forgetting a section of their readership? And if so, what can we do to include them?

Be aware of your own lack of knowledge

Ask yourself: ‘Am I the right editor for this job? Do I have the experience and background to appreciate the cultural context, sensitivities, dialect and other characteristics around this text?’

Listen, read and seek out diverse perspectives. Follow different communities and debates on social media – Twitter is great for this – and consider consulting a sensitivity reader.

Check your (and your author’s) sources

If your author is using sensitive or outdated terms, is the reader made aware of this? If you’re working on an academic text, are the citations consistent? Alert your client if they’re citing female authors by first name and male authors by last name.

Academics’ reputations live or die by how often their work is cited. Citing works by authors from underrepresented backgrounds makes their work visible and draws them into the mainstream.

And finally …

If your client ignores your advice on inclusive language, credits you and publishes anyway, you can say, ‘I gave some advice that was not taken’ and move forward, confident you did your job.

Linguistic prejudice: towards more inclusive editing and proofreading practices

I recently wrote an CIEP blog post discussing linguistic bias and prejudice, and encouraging editors and proofreaders to reflect on our roles and how our own biases may influence our working practices. In the post, I also highlighted what I consider to be problematic discourse within the profession, which is often reflective of the wider public discourse around language use. As a follow-up, this blog post provides more concrete – and, in many ways, more subtle – examples of linguistic bias and prejudice.

It’s one thing to accept that linguistic bias exists within the editing and proofreading profession and quite another to identify how it manifests itself and the ways in which we might work to prevent it. Once we start checking for unconscious biases in our daily practice, we come to realise that there are no simple do’s and don’ts. But, in my own experience of editing and proofreading (and having my work edited and proofread), I’ve become mindful of various ways in which we might be able to carry out our work in a more sensitive, inclusive and representative fashion.

1. Do encourage the use of sensitive and inclusive language but check that suggestions align with the author’s intention.

By means of example, a proofreader changed every instance of ‘sex’ to ‘gender’ in one of my research papers and, despite being well-intentioned, this change misrepresented which of these factors I’d investigated and how I’d gone about my research.

2. Do respect people’s rights to self-identify and to identify others in a more inclusive manner.

This applies to every aspect of identity but a useful example is that of singular they/them/their used for unknown or non-binary gender identifications. Singular they/them/their has become increasingly common and accepted in usage, especially for generic or indefinite antecedents, and the pronouns have worked to replace he/him/his, often the traditional choices in ‘gender-neutral’ instances. Recent moves have seen singular they/them/their used in a specific and definite sense. Ackerman (2018) writes:

there is prescriptive stigma of they as being necessarily plural … (although this appears to be changing) … this bias feeds the stigma of singular they as a personal pronoun for people who identify as neither male nor female, but instead as nonbinary. I advocate extreme care in using “unacceptable,” … This terminology puts authors in the position of telling nonbinary … readers … that the terminology which the nonbinary community has converged on is unacceptable

3. Do retain regional and non-standard linguistic differences, rather than replacing them with more widespread or standard forms.

A good example of this is the primarily Scottish term ‘outwith’, frequently replaced in academic and other formal types of writing, despite the fact that, as stated in this Twitter thread, ‘it is the opposite of within in a way that without is not’.

4. Do acknowledge variation and remain flexible – opting for consistency rather than imposing rules.

By means of example, while the Modern Humanities Research Association suggests that the possessive of ‘Jesus’ is ‘Jesus’s’, Scientific Style and Format recommends writing it as ‘Jesus’’. This is not to mention the controversy around the use of the Oxford comma or the use of split infinitives, which also vary according to institutional and personal style. The choices that writers make regarding each of these linguistic features will inevitably communicate social meanings (I, for one, have either used or avoided the Oxford comma to achieve different effects), but writers should be entitled to make those choices themselves.Page of printed text with editing mark-up in red pen5. Do respect and nurture the author’s style, voice and identity.

If the author chooses to begin a sentence with a conjunction or end with a preposition, perhaps they want to take a more casual and informal stance to their topic. If, as I often encourage in academic writing, they choose to use a first-person pronoun rather than referring to themselves as ‘the author’ or ‘the researcher’, perhaps they want to assert themselves and claim more ownership over what they’re writing.

6. Do remember that the role of the editor or proofreader is to manage the author’s intentions and the reader’s expectations.

For example, dialect literature serves to celebrate regional and social differences and is intended for readers with sufficient social and cultural knowledge to recognise its forms and its authenticity. As such, non-standard spelling and grammar are not only preferable but, arguably, essential in this sphere – consider, for example, DH Lawrence’s use of third-person singular, past-tense ‘were’ in The Collier’s Wife (my emphasis):

Wheer’s ‘e hurt this time, lad?
– I dunna know
They on’y towd me it wor bad –
It would be so!

Compare this intentional use of non-standard spelling and grammar, where the message is communicated effectively, to Donald Trump’s ‘covfefe’ blunder, where the non-standard spelling was neither intended by him nor expected of someone in the position of POTUS.

In summary, our writing is an expression of who we are. For some writers, it is what makes their work different that makes it so special, authentic and credible (eg dialect literature). Even in other cases, there are nuances to writing styles that go beyond the textual meanings and that communicate social meanings and crucial aspects of the authors’ or characters’ identities. When we edit out these meanings, we risk editing out their voices altogether.

Inclusive language – and inclusive editing

By Sarah GreyThree people sat on bench in front of a wall of photo portraitsEditors have a long tradition of defending accuracy and fairness. We want to do right by our clients and by readers. We value inclusivity. We want to be on the right side of history. Almost all social justice movements, whatever their focus, take up questions of language as part of the struggle for equality and freedom. When that happens, language change, which is usually a very gradual process, becomes conscious, deliberate, and much, much faster. Language and politics are forever catching up to one another, pushing and pulling against one another. Our job as editors is to help language catch up.

There’s no one authority on inclusive language. We all have our own biases and knowledge gaps, and we can’t know what other people’s lives are like. People identify ways where language leaves them out or gets them wrong, and they speak up about it and start getting creative about alternatives and trying new things to see what catches on. It’s important for me to add here that there are debates about many of these things (such as people-first language in discussions of disability), so it’s important to stay up to speed on the debates that affect topics you edit.

Language changes because old words haven’t kept up with new realities, or realities that are newly being confronted. When you have the power of naming, you can frame how other people see you. You are literally setting the terms of the discussion. And that, in turn, allows you to put forward what you need in very material and tangible ways.

Etiquette

My grandmother always taught me that the goal of etiquette is to make sure every guest feels welcome and included. As editors it’s our job to see things from the reader’s point of view, not just our own or the author’s – and to welcome readers into the text and keep them reading. So editing for inclusive language is about understanding where language leaves some readers out and finding ways to invite them in.

But there’s a basic principle that underlies the idea of etiquette, of making people feel welcome, and it works very well when editing: treat people like they’re people. Don’t treat them like they’re lesser, like they’re unintelligent, like they don’t exist or don’t matter.

One way of doing this is othering: calling attention to someone’s differences from the unstated idea of ‘normal’: for example, referring to the Asian doctor or the trans librarian when ethnicity and gender aren’t relevant to the story, or dividing a catalogue page into ‘laptop bags’ and ‘women’s laptop bags’. This treats people from the othered group like a special exception whose identity has to revolve around their difference, or like they simply don’t exist, except perhaps in relation to someone more important.

For example, the Guardian recently tweeted the shortlist for the New Academy literary prize with the headline ‘Neil Gaiman and Haruki Muramaki up for alternative Nobel literature prize’. Only seven paragraphs in did the article mention that ‘the shortlist is completed with two female writers’, Maryse Condé and Kim Thúy.

Silhouttes of people standing, their reflections on the floorSo this is something we can watch for as we edit – is everyone identified equally? Do the women have names? Does the interview ask everyone about their child-care arrangements, or only the women? It’s also common to see men’s names given with a full title and women’s titles omitted, as well as surnames for men and first names for women.

Do these slights in themselves hurt anyone? Yes and no. Small instances that might seem innocuous enough pile up. If you’re labelled as other, these microaggressions, as they’re called, happen over and over, and in patterns and in partnership with more violent incidents. Experience that enough and you begin to see how one feeds into the other.

Ethics

That brings us to ethics – because the way we as editors use language has serious consequences in the real world.

Our decisions can influence what the boundaries of normal, legitimate discourse are. Granted, when someone like Donald Trump is in power, those boundaries are pushed further and further out into the realm of the bizarre, but here we are. The boundaries of legitimate discourse can, depending on where we as a society place them, contribute to or even provide justification for physical violence. And while our decisions can’t shape the course of language change, we do have some influence over how language changes. And in that respect, the decisions we make truly do matter.

In the news media it’s especially noticeable when different words are used to describe the same things done by different people. Words carry assumptions and judgements: Are you a protestor or a rioter? Are you assertive or abrasive? Is your government an administration or a regime? The specifics of these terms vary from place to place depending on who has power. They also function as ‘dog whistles’, political code. When these saturate the media and find their way into people’s worldviews, that can have real consequences, including violence.

There are always competing narratives about any conflict, so when you’re editing material that deals with one, whether it’s intended to be neutral or takes a specific stance, you need to do your research and understand which terms are used by whom and whether terms imply a specific stance or are relatively neutral.

The term illegal alien, for example, sounds like it should refer to Klingons or Time Lords, but it’s been used since the 1990s to describe people arriving at the US–Mexico border from Central and South America. It has largely fallen out of mainstream use over the last decade or two, as human rights activists have pointed out that it is blatantly dehumanising. The AP Stylebook, the New York Times, and the American Library Association dropped the term, with the latter noting that it is ‘increasingly associated with nativist and racist sentiments’. Avoiding such inflammatory terms isn’t euphemism; it’s accuracy.

But this July, the federal Department of Justice sent an email to all US attorneys’ offices instructing them never to use the term ‘undocumented immigrants’ and instead refer only to ‘illegal aliens’. In the context of thousands of immigrant children under the age of five being separated from their parents and detained literally in cages, the federal government is taking steps to ensure that only the most dehumanising possible term is used. That’s not a coincidence.Barbed wireWe see similar dehumanisation of migrants across Europe. Gerald Knaus of the European Stability Institute describes this as ‘a conscious policy to reintroduce language that was previously not acceptable in debate’. Obviously we can’t control what the politicians do, but we can push back when we see that sort of language being treated as normal discourse in the texts we edit.

Customer service

As editors, it’s our job to help our clients convey a message to an audience and to remove anything that gets in the way of that message, like unintended sexual connotations or grammatical mistakes. That includes protecting them from making gaffes or inadvertently causing offence. Often these mistakes come from ignorance or thoughtlessness.

There are also times where the author might not actually be flat-out wrong, but still manages to distract the reader. (This is why I advise writers to stay away from the word niggardly, even though its etymological origins have nothing to do with the racial slur.)

This doesn’t mean that you have to make your clients’ writing bland or inoffensive. Nor does it mean that you should shrug off or ignore or cover up writing that’s problematic. What it means is that if your author is going to offend anyone, you want that to be intentional. As an editor I’m a proxy for the reader, and if something causes a strong reaction in me, I want to be absolutely sure that it’s the reaction the author was going for.

We also have a responsibility to keep our authors up to date. Just as we would correct them if they used outdated tech terms, we can do the same when it comes to social issues. We’re not here to shame our authors or tell them they’re doing it all wrong. We’re here to make the finished product better, so a little tact can go a long way.

I try to assume the best of intentions on the author’s part and start from there. Most of the time it will end with the client thanking you.

Tools

If you’re writing about a specific community, check for style guides published by advocacy groups. If you find yourself working a lot on a specific issue, consider compiling your own stylesheet to help you keep things straight.

If you’re still not clear on certain terms or ideas, though, don’t just ignore them: make the effort to learn. Read books, articles and blogs by prominent members of the community you want to learn more about, consume their art, follow them on social media, or talk to them in person. If you do more listening than talking, you’ll pick up on a lot, not just about what terms people are using but also how people in that community are affected as human beings by language. And if you really need in-depth information you can’t find on your own, consider hiring one of the many people who offer consulting on these issues.

What if you screw up? Try not to get defensive or make it about yourself; listen and try to understand it from the reader’s perspective. Speaking up about oppressive language can be stressful, so the person taking the risk of pointing out your error is doing you a favour. Respect that, learn from it and try to do better. It gets easier with practice.

The bottom line is that if you’re editing only the words on the page, you’re not being thorough. We also have to read – and edit – what’s between the lines. That’s what inclusive editing is all about.
