SfEP wise owls: how to take (guilt-free) time off at Christmas

At the time of publication, there are only 48 days until Christmas. While everyone else is concerned with buying presents, spending time with relatives they don’t like, and how to avoid getting food poisoning from an undercooked turkey, freelancers also have to organise taking time off during the holidays. As an early Christmas present, the SfEP parliament has wrapped up their advice on how to take guilt-free time off over the Christmas period.

My advice? Banish the guilt! Isn’t freedom to work when we choose one of the reasons we go freelance? Why then do we burden ourselves with guilt when we do just that? The only thing we should worry about is making sure we do what we have promised to do by the time we promised to do it. Give yourself permission to reject a job if it will mean working when you don’t want to.

So, unless you actively choose to work over Christmas (and there are plenty of good reasons you might wish to do so), block the time off in your schedule and resolutely say no to taking on a project that would mean working over your holiday period. Close your office door, switch off your phone, and go and enjoy your family and friends, your food and wine, your Christmas walk (just me?), and your rest. Return to your work when you choose to, knowing you’ll be all the better at it for having relaxed and refreshed yourself. And banish that guilt!

Remember that your time is as valuable as anyone else’s, and you have a right to take holidays. You can’t do your best work if you’re over-tired and feeling put-upon, so give yourself a break. Plan definite work-free time in advance – block it out as you would any other project, on your calendar or in your diary. Tell all the people you need to tell that you’re taking this time off, and stick to it as you would any other professional commitment. Christmas is easier than some other holiday periods because most offices either shut down completely or are very nearly empty, with little sense of urgency. If you waver in your resolve, just remember that most clients won’t expect you to be working flat out at this time anyway, and email traffic is likely to reduce. For a total break it can be wonderful to stay offline completely for a few days (no email, no social media) … if you have the self-control!

Try to decide a few months in advance which days you are taking off work. Write HOLIDAY in your calendar in big letters so it takes thought and effort to cross it out. If you can, fit a few more projects, or better paying ones, into the months leading up to your break so you’re not worrying about earning when you should be taking time out. Tell your clients when you’ll be ‘away’ and that you won’t be responding to emails during that time. When your holiday finally comes around, don’t check your email, steer clear of social media, and if you think of something work related that needs doing, make a list, tuck it under your keyboard and walk away.

Taking a whole week or two off a couple of times a year is really important – especially in the dark winter months. You’ll come back refreshed and enthusiastic, keen to get back to your routine, and you’ll be more productive.

Plan the calendar well ahead. If you book up your work time in, say, two-week blocks, then book your Christmas time off three or more weeks ahead. That way, you won’t let work dominate the holidays. A general life lesson is to plan the fun stuff first and then the work to fit around it. That’s why most of us are freelancers, after all – freedom.

I always know I’m going to be doing the cooking, so can be sure that I won’t be working when I’m spending time in the kitchen. But I actually love that. If there are young kids around, plan to get them involved with the prep so that the whole thing doesn’t feel like a chore.

Send clients Christmas cards with a reminder of when you’ll be back at work. Could lead to more business! Always be top of mind.

Turn off phone notifications and even turn off delivery of emails.

Decide on something nice / creative / challenging you want to do during your time off. Get out that sewing project that’s been on hold; sort out your photo albums; plan an overnight long hike. Anything that’s going to make you feel good and less guilty about not working.

Theoretically, taking time off at Christmas is easy if you plan it in advance and tell those contacts who need to know. But, in practice, existing work can end up spilling into our well-earned down-time, or lucrative offers can tempt us back to our desks. To prevent work spilling over, consider taking on slightly less work just prior to your break so you can be sure you’ll get it done in time, even if it takes a bit longer than expected. As to being tempted to take on new work, plan in advance what you’d say if you received an offer and what rates you would charge to justify giving up your planned break. Maybe there’s no fee that would make it worth it – but even coming to that conclusion could help to fortify you against tempting offers.

Never, ever feel guilty about taking planned time off.

There are laws to protect the holiday rights of employees, but no equivalent for freelancers. That means you have to police yourself. Everyone needs a break. Plan yours well in advance; tell your clients you’ll be ‘out of the office from x to y’. (They don’t need to know why unless you want to tell them.)

The number one benefit of being a freelancer is the freedom to decide what is right for you.

Downtime is essential for your health and well-being. No guilt required. To ensure you take time off, you need to commit, and commit early. Mark the time off in your planner. When offered a job with a due date on the far side of your break, double-check that the timescale is feasible. One client’s software regurgitates a due date based on word count, ignoring all bank holidays, so I get the date extended. Reject any job that has a due date during your planned break so you don’t try to squeeze it in and finish it early – if you fail, you end up working, stressed and resentful.

Taking editorial tests for clients

editing testsSometimes a prospective client will ask you to complete a test, either in competition with other editors for one ongoing editorial position, or for admission to their pool of regular freelance editors. Opinion is divided among editors about the usefulness and ethics of these tests. Should we be required to take them? Is it something of an insult if we can otherwise demonstrate that we have the necessary experience and skills? And is it a waste of our valuable time … or is there perhaps more to it than that?

Although I am rarely required to take tests for clients (most of my work is repeat business or comes via recommendations), I am sometimes asked to complete one if the client is completely unknown to me, or if the work requires particular skills that can only be seen in action.

For instance, I recently completed a test for a client I had approached about an ongoing copy-editing position. It turned out to be quite a palaver – the test itself was absolutely reasonable (in fact I thought it was a very good test), but to be able to complete it I had to install the latest version of InDesign (until that point I was deluded enough to believe that I had the latest version). This, it turned out, also entailed updating my entire operating system. I also needed to buy the Kindle edition of a well-known style guide, and do my best to absorb the relevant parts of it in the time available. Finally, I had to learn a few new ways of using my freshly updated software in order to complete the test.

Was it worth it? Well, I hope it secures me the work, but even if it doesn’t on this occasion, I don’t begrudge the time I spent. Here’s why.

Benefits of taking tests

As I hope I have just demonstrated, taking a test for a client can be a very useful form of CPD. I certainly learnt things, many of them about software that I have been using regularly for the last ten years, and I have a shiny new operating system. It was interesting to work on a particular type of material, some aspects of which were a departure for me. I also learnt aspects of a style guide that is new to me – though it reminded me very much of one that I already knew, which helped. Above all, the thought of someone looking critically at each and every editorial decision I made focused my mind on trying to get it just right. In an ideal world I would approach every job with this level of intensity.

Aside from the CPD aspect, editorial tests can be a great way in for new freelance editors. If people ask me about the best way to find work when starting out, I often recommend that they seek out clients who require them to do tests. If you get as far as taking the test, and pass it, this can negate the need to provide a long list of experience, which can obviously be a barrier for those new to the profession.

When to be wary

Personally, I wouldn’t be happy to take a test for every prospective client. I would rather know as far as possible that I definitely want to work for the client before putting in the time required to do a test properly. There’s also a limit to how long I am prepared to spend on a test. A length of a thousand or so words is OK. Ten thousand words is too long, in my opinion. I don’t think a reasonable client would ask me to take a test that took up more than an hour of my time.

Finally, I would want to be sure that the test is a genuine test. This has not happened to me (probably because of the nature of my client base), but I am aware that some editors have been sent a section of a longer work as a test … only to discover that others they know have been sent different sections. One suspects that some unethical authors might think it possible to get an entire work edited for free in this way.

How to approach a test

Not everyone likes tests, but there are ways to make them less painful. Take your time to read the instructions provided. It’s clear that if you ignore these, you won’t impress, but more than that – the instructions can provide valuable clues about what the client wants. Are there specific points of style mentioned? Do they want you to provide an idea of the time the test took to complete? Do they want you to quote for the work?

It helps to become as familiar as you can in a short space of time with the existing output of the client. Do they have similar material published on the web? If they do, this is incredibly useful in terms of understanding the tone to aim for when editing; it can also solve a few style riddles.

Finally, try to forget you are doing a test. Easier said than done, I know. But once you get into the rhythm of the work, try to enjoy it and just do the best job you can – as if you were editing for your favourite client, on a topic you find fascinating, at a fabulous hourly rate, on a really good day. You probably won’t achieve this state of being until the end of the extract (especially if it’s only a thousand words long).

For this reason, and others, do check over your work again at the end. And again. I don’t always read things multiple times when I edit in real life – it depends on the parameters of the job – but for a test, I certainly will. This is your one chance; try not to blow it. You’ll probably find that the first half of the test piece is not as good as the second, and can be tightened up no end with another pass.

What to take away?

Well, of course, you hope you get the gig. But whether you do or not, I hope I have shown that a test can be a positive and useful experience in various other ways, too.

7 questions to consider when naming your editorial business

photo (2)One of the most important decisions you’ll make when starting any new venture is what you should call your new business. Here are seven questions that will help you come up with the perfect name for your editorial business.

1. Should I use my own name?

If you are already well established in your editorial career, it can be helpful to use your own name in your business as it will help potential clients find you, particularly if they have worked with you previously. However, this doesn’t work if you have a more common name. If your moniker is along the lines of John Smith, you may prefer your business name to be a little more original.

2. Should I include details of what I do?

It can be helpful to outline your services as part of your business name, but be careful not to box yourself in. While ‘X Proofreading’ may be a perfect description of your business offering today, next year, after you’ve expanded into copy-editing or developmental editing, you may find that the proofreading part of your business name restricts you.

3. Is my proposed business name easy to pronounce and spell?

Picture the scene: You’ve met a really promising contact and exchanged business cards; a week later your new contact wants to get in touch. Unfortunately, they’ve mislaid your contact details, but that’s not a problem because they remember your business name. A simple internet search should yield your phone number or email address. Except when they type in what they remember as the name of your business, they spell it differently. Or maybe they have seen your business name written down and they are recommending you to a colleague, but they pronounce the name of your business as they remember hearing it, not as it is actually spelt, so they can’t find you. You’ve lost out on potentially valuable business. So keep your business name simple and avoid homonyms or puns that could confuse potential clients when they try to find you. Moreover, slightly odd spellings could be seen as detrimental when you are trading as someone who specialises in catching typos.

4. What is my story?

If you decide not to use your own name, don’t just think about the services you offer, think about your story. Is there a particularly original path you took that brought you to this career? Could your business name hint at your story? An added bonus is that this will give you something to talk about when you first introduce your business to prospective clients.

5. Is geography important to me?

Perhaps you have a local landmark or heritage that you’d like to reference in your name. Or would you rather not tie yourself to a particular region? Remember to think about the future as well as the present. If you are likely to relocate, would this impact on your business if your name is linked to a particular locale?

6. Are there any other businesses already using my proposed name?

You’ve come up with the perfect name; it’s so original no one else could have come up with it — never assume this is the case. Always search on the internet first. Google your ideal name and see what comes up. Then check the common domain name providers to see if the address is available. And don’t forget to search across social media platforms, such as Facebook and Twitter, to see if other organisations or individuals are already using your proposed name. The last thing you want is to buy your web address and then discover that someone is already using your business name on Twitter, particularly if they are in a less salubrious line of business!

7. What do friends and family think of my name?

Test out your proposed business name on friends, family, colleagues, or even the Society for Editors and Proofreaders (SfEP) forums. What does the name say to people? Is there anything about your business name they can spot that you didn’t notice? For example, do the initials spell out an unfortunate acronym?

How I got started – Abi Saffrey

SfEP professional member Abi Saffrey shares her story in this regular blog feature, which explores the many different career paths taken by SfEP members.

I’m not an unlikely editor: I’ve always had a passion and aptitude for language, adore the feel and smell of a book, and love to organise.

Achievements in French and English at school led to a degree in Languages and Linguistics. As a new graduate, I got an admin job at Dillons the Bookstore, which in many ways was heaven: organising money and paperwork for 30 per cent of my day; unpacking and sorting books for the other 70 per cent.

I left that job for a better-paid admin job elsewhere, but the books kept calling so I applied for graduate editing jobs, and I was offered an editorial assistant job with a small business-to-business publisher. The process wasn’t a standard book publishing one, and we certainly didn’t use BSI marks, but I learnt about various types of content quality control and enjoyed editing colleagues’ writing.

After taking a ‘career break’ (i.e. three months travelling the world), I landed a desk editor job at Continuum in London. I was thrown into the deep end, managing books from manuscript submission to final proofs.

I then went to a large US corporation’s UK office to edit the work of ten in-house economic analysts, and that’s where my subject specialism started to develop. I studied for an ‘A’ level in Economics, read the Economist every week, and attended seminars on shipping routes and trade terms. I managed a monthly publication (with contributions from 15 economists), and edited reports that were revised annually. I became responsible for improving the economists’ writing skills – they came from all over the globe, so I learnt a lot about the challenges that non-native English speakers face when trying to express complicated concepts in their second (third, fourth) language.

From there, I headed to Glasgow to work as a publishing project manager for an education quango. The production processes were very paper-based, so I introduced an electronic workflow and encouraged the use of freelances to lessen the load on in-house staff. My role developed into quality control manager, so by the time I left I was responsible for ensuring a 60,000-page website (and around 100 printed publications every year) met specific quality standards.

I was moving further and further away from the words I love, so in January 2009 I stepped off the precipice and joined the freelance community. I had joined the SfEP Glasgow group in 2007 and received advice, support and encouragement, and I had already done a couple of freelance projects alongside my full-time job, so I felt informed about, and prepared for, my leap.

I sent a lot of emails, and my first few jobs were for previous employers. In that first year a conversation with a friend (a university lecturer) evolved into working with a journalist to create a database of English writing examples and questions, to help university students (both native and non-native English speakers) improve their writing skills.

I kept emailing potential clients, and by the end of my first year I had worked with 11 different organisations (four of which I still work with). The variety is key for me: last year, I did a five-month stint editing an economics journal (with its editorial board based in Hamburg); this year, I’m attending the PTC’s Editorial Project Management course, in preparation for offering another service to my clients.

I’m always on the lookout for new opportunities – I carry a notebook with me so I can jot down the names of organisations I would like to work with. Then, every few months, I do a bit of online research and approach those organisations. On my current list are publishers included in the reference list of an article I’ve edited, a think-tank that featured in a TV documentary, and a research institute that someone mentioned at a birthday party.

How I got started – Samantha Stalion

SfEP ordinary member Samantha Stalion shares her story in this regular blog feature, which explores the many different career paths taken by SfEP members.

As I sit here in the sunshine, with my laptop and ergonomic mouse on the table in front of me, I cannot help but ponder my life. How did I end up here? I guess it’s taken me a while to realise what it is I want to do with my life. I mainly have my husband to thank for my long-awaited eureka moment just over two years ago. But not least I should mention my editor-in-chief father, who has remained supportive and encouraging over the years, and who – although I only recently realised this – has continuously looked over me, exuding his own unrivalled determination and proficiency in the publishing profession. Perhaps it was my adoration for my father and the entrepreneurial mindset of my ambitious husband that have somehow combined to spur me on to reach my own goals and continue to develop professionally.

I don’t think I was ever particularly academically gifted – I was merely an average student – but a certain degree of maturity and curiosity to learn more about the world we live in has enabled me to use my skills to master my profession and steadily move forward, making a living along the way. As an editorial fledgling, I was lucky enough to have some great role models and mentors over the years, and my fluency in various languages and broadened horizons have certainly added to my competency in this profession.

In any case, going back to how I got here … I have a lot to say for my (or indeed anyone’s) multicultural and multilingual upbringing. English, German and Dutch all played an integral role in my early years, and later (at degree level) Spanish was added to these language skills. Not only were the languages a part of my upbringing, so too were the cultures behind these languages and the countries in general. As languages remained very much a part of my everyday life, I began to explore these skills and integrate them into my professional career, choosing jobs that required them. I ventured into translation and successfully completed a postgraduate translation course run by City University London. Having realised that there is much more to translation than generally assumed, I became intrigued by other professions that depended on language skills.

Owing to my father’s connections (and, in a way, I guess my own connections), I was able to land a gig translating articles on religions for an encyclopedia, for a reputable academic publisher in the Netherlands. I worked on this project for a couple of years, on a part-time basis, before being asked to work on other encyclopedia projects – not as a translator, but as a copy-editor. With next to no copy-editing experience, I was given on-the-job training and, four years and a few pay rises later, I am still copy-editing for the same publishing firm on a couple of different projects – I must be doing something right.

In the last couple of years, in addition to dabbling in freelance work alongside my full-time job in the printing industry, I decided to consolidate my editorial skills with some additional training and qualifications. I passed the ‘Basic proofreading by distance learning’ course provided by the Publishing Training Centre with merit and completed the ‘Brush up your grammar‘ course offered by the SfEP. After learning the proper use of BSI proofreading marks, and with some helpful tips and advice on how to get started as an editorial freelance, I gained the confidence necessary to jump into the full-time freelance whirlpool. Additionally, I successfully upgraded my SfEP membership status to ordinary member.

Local SfEP group meetings have been a source of encouragement and invaluable advice, and the forum discussion boards on the SfEP website remain a daily source of inspiration and guidance.

Unfortunately, with an imminent move to the States (the price you pay for being married to an American), gaining work and new clients has been slow going. However, I imagine with some extra determination and hard work I will get to where I want to be professionally before too long. After all, Rome wasn’t built in a day.

My advice to other freelance newbies just starting up their own business: draw on ALL the contacts you have and GO FOR IT!
